I. Organization

 

Review Contingency Planning strategy.  
Identify Executive management team.  
Identify high-level business functions.  
Assign team to each business function.  
Incorporate contingency planning into existing management activities.  
Develop project plan for contingency planning efforts.  
Report organization and project plans to Project Office.  
Milestone Deliverables: Business Functions Defined,  Contingency Team(s) Defined and An Initial Contingency Project Plan  

II. Preparation

 

Attend Contingency Planning Workshop.  
Review workshop materials.  
Meet with Business Leaders to discuss their expectations and constraints.  
Review White Paper  
Meet with Functional Leaders  
Identify systems, electronic interfaces, embedded technologies, facilities, and third parties.  
Identify key individuals and organizations involved with project.  
Identify constraints  
Identify reports, databases or persons with valuable knowledge.  
Identify business processes that other business functions depend upon.  
Identify business processes with non-Year risks and contingency plans.  
Identify business processes with established non-project Crisis Management Teams and procedures.  
Review availability of resources for contingency planning project.  
Review progress of external contingency planning projects.  
Resolve critical deficiencies, issues and concerns.  
Milestone Deliverables: Business Processes defined for each Business Function

III. Business Risk Analysis

 

Conduct risk assessment for each business function.  
Eliminate non-critical business processes from project.  
List and prioritize critical business processes.  
Revise project tasks to reflect new priorities.  
Manage identified risks.  
Milestone Deliverables: A Business Processes Risk Assessment, An updated project plan with tasks to develop contingency plans for each business function  

IV. Contingency Planning

 
Assess existing contingency plans for applicability to risks.  
Develop outline of each contingency plan and action within project.  
Propose, prioritize and obtain approval for each new contingency plan and action.  
Build and document new contingency plans and actions.  
Track, implement and retract contingency plans and actions.  
Milestone Deliverables: A fully documented set of contingency plans for each business function.  

V. Crisis Management Planning

 
Assess and adapt as necessary existing Crisis Management Team plans.  
Propose, prioritize, and obtain approval for each new Crisis Management Team.  
Build, organize, and document new Crisis Management Teams.  
Communicate existing and new escalation procedures.  
Milestone Deliverables: A fully documented set of Crisis Management Teams for each business function.  

VI. Contingency Planning/Crisis Management Teams

 
Monitor daily business function activities.  
Revise, document, and properly communicate contingency plans, Crisis Management Teams, and procedures.  
Milestone Deliverables: Regular status report to monitor your contingency planning project progress, concerns, and issues. When necessary, updated contingency plans.
